Payroll Automation in the Philippines by BaseUp Labs

“We start with employee master data,” said Jimboy Epilan, BaseUp Labs’ Technical Lead for HR Software. “Each profile needs complete information—ID, department, position, benefits, and government IDs. We also check the contract, including the hire date, and the wage type, whether fixed monthly, daily, or hourly.” With records complete, payroll runs consistently and errors are easier to avoid.

Some companies use biometric devices, others rely on spreadsheets, and a few still keep manual logs. “Most of our clients use biometrics or spreadsheets, but if a company still relies on bundy clocks, we can digitize those records by importing logs in batches or exploring OCR,” explained Gino Gervasio, BaseUp Labs’ co‑founder. Once attendance flows into Odoo, HR staff stop encoding hours line by line.

“We also have undertime computations, grace periods, and other salary adjustments, which could include loans and expenses,” Epilan said. “Wage multipliers can be automatically computed based on the Payroll Holiday table and the Attendance Day Off Schedules table.” These features reduce disputes and give HR teams confidence that rules apply fairly.

Payroll also takes care of compliance while payslips are being generated. “Attendance feeds into payroll to calculate hours and overtime. Payroll then generates payslips, and compliance reports like BIR Form 2316 are produced automatically,” Epilan added. Contributions for BIR, PhilHealth, Pag‑IBIG, and SSS are calculated as payroll runs, so HR staff no longer prepare them separately.

Payslips come out on time, and HR staff spend less energy reconciling numbers. Employees see accurate payslips in their portal, and managers know compliance reports are ready when needed. The process feels lighter, and HR teams can focus more on people than paperwork.
